Overview

Every time you save a note in XBert, the system automatically creates a version snapshot. This means you can:

  • View the complete history of all changes made to a note

  • See who made each change and when it was made

  • Restore any previous version with a single click

  • Never lose important content - current content is automatically saved before restoration

This feature is particularly valuable for teams who collaborate on notes, as it provides a clear audit trail and protects against accidental data loss.


Accessing Version History

The History button is available in the note toolbar for any saved note.

  1. Open an existing note in XBert by navigating to Notes and selecting the note

  2. Look for the History button in the toolbar at the top of the note editor

  3. Click the History button to open the version history dropdown

Note: The History button only appears for notes that have been saved. New notes that haven't been saved yet will not display this option.


Viewing Previous Versions

When you click the History button, a dropdown panel appears showing all available versions of the note.

Each version entry displays:

  • User avatar - Shows who made the change

  • Note title - The title at the time of that version

  • Date and time - When the version was saved (displayed in Australian date format)

  • Version number - Versions are numbered sequentially (v1, v2, v3, etc.)

The version list shows the most recent versions first. Scroll down to see older versions if the note has a long history.

Loading states:

  • While versions are loading, you'll see "Loading versions..." message

  • If no previous versions exist, you'll see "No previous versions available"


Restoring a Previous Version

To restore your note to a previous version:

  1. Open the note you want to restore

  2. Click the History button in the toolbar to view available versions

  3. Click on the version you want to restore

  4. Review the confirmation dialogue - This shows:

    • Which version number will be restored

    • The date and time of that version

    • Who created that version

    • A reminder that your current content will be saved first

  5. Click Restore to proceed, or Cancel to keep your current content

Important: When you restore a previous version:

  • Your current note content is automatically saved as a new version before the restoration occurs

  • This means you can always go back to where you were before the restore

  • The restored content replaces your current note title and body

  • Attachments and other note settings are not affected by version restore


Tips and Best Practices

Regular Saves Create Better History

The version history captures the state of your note each time it's saved. With XBert's auto-save feature, versions are created automatically as you work.

If you're making significant changes, consider manually saving (by closing and reopening the note) to ensure important milestones are captured.

Use Version History for Collaboration

When multiple team members work on shared notes, version history helps you:

  • Track who made specific changes

  • Understand when changes were made

  • Recover content that may have been accidentally overwritten by a colleague

Preview Before Restoring

Always review the confirmation dialogue before restoring. It shows the date, time, and author of the version you're about to restore, helping you confirm you've selected the correct version.

How many versions are kept?

XBert stores all versions of your notes. There is no automatic deletion of old versions.

Can I see the full content of a version before restoring?

Currently, the version preview shows the title and metadata. To see the full content, you would need to restore the version. Remember, your current content is saved first, so you can always restore back if needed.

Who can see version history?

Any team member with access to view the note can see its version history. Version history respects the note's visibility settings (Public or Private).

Does restoring a version affect attachments?

No, the version restore feature only affects the note title and body content. Attachments and other note settings remain unchanged.

What happens to version history if I delete a note?

If a note is deleted, its version history is also removed.
