At a glance, you'll know if your clients' finances, or your own, are on track with the up-to-date visibility you always wanted. You'll see everything we detect, and everything you resolve, in your XBert CONNECT Portal giving you a clear picture of how much money and time XBert is saving you so that you can focus on growing your business.
Improve productivity and stay organised with full access to all of XBert's task management tools, that will help streamline workflow, collaborate with your team and clients, and increase your profit margin.
You can access your Client Consoles or linked organisations from CONNECT's Process Status dashboard, Organisations dashboard or anywhere within the portal using the Organisation drop-down and search menu. Once in a Client Console, you'll have access to XBerts, Tasks, Snapshots and Charts for that client.
You'll find the panel menu on the far right of your portal for accessing Settings, Adding CONNECT users and controlling permissions, Task Calendar, plus so much more.
Your Organisations dashboard
When you first log in, you will find yourself in the Organisations dashboard with summaries for the critical information for each organisation, including the current risk amount and number of XBerts (risk alerts), unreconciled total, outstanding items and number of items assigned to you. Use SEARCH IN VIEW and the filters to help you find what you're looking for, so you can prioritise workflow and resolve the most urgent risks first.
If you are managing client organisations, use the MY ITEMS filter to display only organisations assigned to you.
From the dashboard, you can assign an organisation to a team member to manage, set a due date, and add comments.
Selecting CLIENT DETAILS takes you to the XBert Review for that organisation with information on the incoming and outgoing cash that XBert is monitoring, plus the Potential Savings amount and the XBert breakdown. You'll see the number of XBert risk alerts, the type of risk, the associated risk amount, the number of resolved XBerts and how much money these resolved XBerts total. We've also calculated your savings as a time measure because we know how important this is to practices and time-poor business owners.
OPEN takes you to that organisation's account data or Client Console where you can view all Snapshots, Charts, XBerts, Tasks, and collaboration tools. You resolve XBert alerts from within Xero, which is integrated and easily accessible from each XBert with a direct link to the relevant entry.
There is no limit to the number of organisations you can add to your CONNECT account. You will have to grant XBert access to the cloud accounting software for each organisation*.
*PLEASE NOTE: At the moment XBert integrates with Xero, but MYOB, QuickBooks and other accounting software integrations are coming soon. If you don't use Xero or use Xero and other software together, you can still add organisations to XBert and include them in your process workflows so you never miss a deadline! For now, you won't receive XBert alerts, but we'll let you when our MYOB, QuickBooks and other software data integrations are ready.
Process Status dashboard
Using your Process Status dashboard, you can track all your XBerts and tasks across all clients and the customised Processes you've set up in CONNECT at a glance. You gain oversight of your Xero files and team's workload, can manage workload by exception rather than by routine, i.e. knowing there's an issue, and efficiently manage your workflows and service offerings. With XBert CONNECT in your corner, you'll have peace of mind knowing nothing will slip through.
CLIENT CONSOLE gives you quick access to each client organisation's XBerts, Tasks, Snapshots, Insights and Activity Feed.
TEAM VIEW lists all services and process workflows for that organisation along with the total number of items and items assigned to each team member. Using the TEAM VIEW board, you can monitor and manage workloads, redistributing tasks as needed.
From your Process Status dashboard, plan your workday or manage your team using the Reporting Period Selector, custom date range and filters. You can focus on areas that require attention and keep track of team workload and status. Any parameters selected translates to what you see on the Process Status dashboard. Toggle to view ALL items, or only XBERTS or only TASKS.
For better workflow management and consistency, in XBert you create Processes for your common workflows, e.g. Banking, Accounts Payable or Payroll. When you create a task, you allocate it to a Process, and you can also automatically map XBerts to a Process. Your Processes are listed on the left and a grey tick against the process name indicates that there are no outstanding items associated with that workflow. A green tick within a column indicates no outstanding items for a client for the corresponding process. A grey, outlined number indicates the outstanding items (To Dos) and a shaded, red number indicates overdue items.
Hover over the status indicator for more information - you'll see how many items there are Overdue, To Do or Filed. Select the indicator to be taken to the Client Console's XBERTS & TASKS dashboard to work on those outstanding items.

CONNECT Tasks and Template Tasks
XBerts and tasks form part of your customised workflows. You should allocate Template Tasks and other tasks to a Process.
Set a due date and you can assign the task to a CONNECT team member to complete or client if you've invited them. You can also set tasks to recur daily, weekly, monthly, quarterly or any timeframe required.
In CONNECT you can create Template Tasks with subtasks to standardise your service and process workflows and ensure consistency, e.g. a tax or compliance checklist. You can also create CONNECT-only tasks visible to your CONNECT team only.
Activity and notifications
All discussion and activity are easily monitored and referenced within XBert. Under ACTIVITY, you will find MY ACTIVITY, ALL ACTIVITY and TEAM CHAT. Notifications also display here. You receive notifications whenever you are assigned an organisation, XBert or task, or are mentioned in TEAM CHAT or in a comment. MY ACTIVITY will display any activity related to you for both CONNECT and linked organisations. In CONNECT, ALL ACTIVITY is a feed for CONNECT activity only, there are separate activity feeds for each organisation as well.
