Overview

The "Grouped Overdue Bill Outside Normal Behaviour" XBert highlights multiple unpaid bills that are significantly more overdue than usual, based on your historical payment behaviour. This alert helps you manage at-risk supplier payments and prioritise overdue bills that may impact cash flow or vendor relationships.

What it does

This XBert detects groups of overdue bills that are outliers compared to your normal payment timeframes. It helps you focus on clusters of overdue bills that have gone beyond your typical pattern and may be forgotten, disputed, or financially risky if left unpaid.

How it works

XBert analyses all Paid bills in your accounting system and:

  • Splits them into 5 bins based on bill amounts, with equal numbers in each bin.

  • Calculates the overdue day threshold for each bin using a statistical outlier method:

    • Q3 + 1.5 × IQR (Interquartile Range)

  • Reviews all current unpaid bills that are 7+ days overdue.

  • If a bill in any bin exceeds the overdue threshold, XBert raises an alert.

  • Multiple matching bills are grouped into a single alert for easier action and prioritisation.

Example: If bills in the $100–$900 range are normally paid within 28 days, but three current unpaid bills are 40–60 days overdue, this alert is triggered.

Example/Use Case

Your business has six bills overdue across four suppliers, with the most overdue bill being $2,750 and 56 days late. Historically, you pay bills in this amount range within 20–30 days. XBert detects that this group of unpaid bills is well outside your normal pattern and flags them for your attention before any further delays lead to supplier tension or service interruption.

This alert falls under the ‘Purchases (AP)’ category and supports better accounts payable management. To resolve this issue:

  • Review each flagged bill to confirm if they’ve already been paid and not reconciled.

  • If genuinely unpaid:

    • Prioritise the most overdue bills first.

    • Contact suppliers to arrange payment or negotiate new terms.

    • Consider making part payments or agreeing to a payment plan.

  • Add notes to your accounting system or XBert to track when each bill is scheduled for payment.

  • Take steps to avoid future late payments — such as implementing payment reminders or scheduled AP review cycles.
