Overview
The "Bills in (month) without attachments over $75" XBert highlights Australian bills over $75 (ex. GST) that do not have a supporting document attached. While uploading documents isn't strictly mandatory, doing so ensures compliance and simplifies audits and BAS preparation for bookkeepers, accountants, and tax agents.
What it does
This XBert identifies bills that meet the following criteria:
The bill total (excluding GST) is over $75
The bill includes GST greater than $0
There is no attachment on the bill
The bill was created within the last 12 months
Applies only to clients with Australia as the registered country
XBert helps ensure that documentary evidence exists for GST credit claims, aligning with ATO requirements.
How it works
XBert checks your accounts payable entries and flags any bills that fall within the defined scope but are missing an attachment. It will continue to update and count down as attachments are added to those bills, resolving the alert over time.
Example/Use Case
John from “John’s Appliances” entered a bill for $120 from ACME Suppliers 11 months ago but forgot to attach the invoice. During a BAS review, his tax agent is unable to locate the original document. John has to go back and contact ACME for a copy — wasting valuable time. If he had uploaded the file when creating the bill, it would have been available for anyone reviewing the accounts.

Processes
This alert falls under the ‘Purchases (AP)’ category and supports GST compliance and audit readiness. To resolve this issue:
Click on the “Resolve” links within XBert to access the relevant bills.
Upload the supporting tax invoice to each bill record.
Once attached, XBert will detect the update and automatically resolve the alert in the next sync.
If uploading supporting documents is not part of your process, you may file the alert instead.
As per the ATO, invoices over $75 (ex. GST) must contain sufficient details for a valid GST credit claim — and having those documents easily accessible helps avoid issues in audits or reviews.
