Overview
The "Expenses in (month) without attachments over $75" XBert highlights bank transactions (Spend Money) over $75 (excluding GST) that do not have supporting documentation attached. While not mandatory, uploading attachments helps ensure ATO compliance and simplifies audits, reconciliations, and GST claims.
What it does
This XBert identifies Australian bank transactions that meet the following criteria:
Total is over $75 excluding GST
There is GST included (tax amount > $0)
The transaction occurred within the last 12 months
The transaction has no document attachment
XBert helps ensure you retain proper records, reducing risk and improving data availability for reviews and audits.
How it works
XBert scans spend money transactions (e.g., bank transactions coded to expense accounts) in your accounting file. It flags those that:
Appear to claim GST
Are over the $75 threshold
Do not have a supporting file (e.g. tax invoice, receipt) uploaded
The alert continues to monitor and will resolve automatically when attachments are added.
Example/Use Case
John from John’s Appliances processes a payment of $120 to ACME Suppliers but doesn’t upload the tax invoice. During a routine audit, John’s tax agent requests the invoice for that purchase. John searches but can’t locate it, causing delays and potential GST credit issues. If John had uploaded the document at the time, it would have been immediately accessible.

Processes
This alert falls under the ‘Bookkeeping - Purchases (AP)’ category and supports GST compliance. To resolve this issue:
Click each Resolve option in XBert to review the affected spend money transactions.
Upload or attach the supporting invoice or document to each transaction.
XBert will automatically resolve the alert once the next sync occurs and the file is detected.
If your business does not require document attachments on these types of transactions, you may file the alert instead.
Note: According to the ATO, tax invoices are not required for transactions of $75 or less (excl. GST), but evidence is still needed to support all GST credit claims.
