How To: Open and Preview a Captured Receipt

Open a receipt from the Receipt Capture page to see the original file, check what XBert read, and take the next step.

Why open a receipt?

Opening a receipt from the Receipt Capture page shows you the original file next to the list, so you can check it without leaving the page. From there you can see what XBert read, go to its Receipt Capture work item, or take the next step depending on where the receipt is up to.

The preview panel is for checking a receipt. To change its details or publish it, click Open to go to its Receipt Capture work item.


Open a receipt

  1. In the left-hand menu, click Receipt Capture.

  2. Click the receipt in the list.

    1. The preview panel opens on the right, showing the receipt's status at the top.

You can also get here from a Receipt Capture work item by clicking View.


Look at the receipt

The preview panel has four tabs down the side. Hover over each one to see its name.

What it shows

Details

The original file. You'll also see your client's comment if they added one, and the reason if XBert couldn't read it.

Extracted Text

The text XBert read from the receipt.

Audit Trail

Everything that has happened to the receipt, step by step.

Memories

What XI remembers about this supplier.

In the Details tab:

  • PDFs have page, zoom and search controls.

  • Images have Zoom Out, Reset Zoom and Zoom In. You can also zoom by holding Ctrl (or Cmd on a Mac) and scrolling.


Buttons at the top of the panel

Button

What it does

Open Receipt

Opens the original file in a new browser tab.

Delete

Deletes the receipt. You'll be asked Delete document? first.

Close

Closes the preview panel.

āš ļø Deleting can't be undone

Deleting a receipt also deletes its Receipt Capture work item and removes it from your client's XBert Capture app.

What you can do next

The buttons under the receipt's name change depending on where the receipt is up to.

Button

When you'll see it, and what it does

Open

Once the receipt has a Receipt Capture work item. Takes you to the work item, where you edit and publish it.

Process now

When the receipt is Queued. Starts reading it straight away.

Reprocess

When the receipt has Failed. Tries reading it again.

Process

When the receipt is a Duplicate. Reads it anyway, after you confirm in the Duplicate Receipt Detected window.

Process separately

When the receipt is Awaiting grouping. Reads it as a receipt of its own.

Promote to its own transaction

When the receipt is Attached to bill. Takes it off that bill and reads it as a receipt of its own.

Attach to existing bill…

Before the receipt is published. Adds it to another bill as a supporting document.

Change to Approved or Change to Draft

On bills for Xero clients, before they're published. Changes whether this bill goes to Xero as a draft or approved.
