Maintaining accurate financial records and staying on top of bookkeeping/accounting tasks is crucial to the success of your business. With the help of XBerts' task templates and advanced scheduling capabilities, your practice can automate and streamline weekly, monthly, quarterly and all other recurring work.

Automated workflow is set up via Task Templates, that define the work to do, and the scheduler, which allocates work for clients to the right people, at the right time. XBert workflow automation frees up valuable time that - things get done quicker, and it's easier to manager what is being done.

There is a standard set of processes in the XBert app that everyone gets when they sign up. XBerts are mapped into these processes, as are task templates. A standard set of task templates can be loaded into these processes as a starting point for setting up automated workflow for your business.

Our standard set of task templates is the result of extensive consultation with accounting and bookkeeping practices, combined with the actions a bookkeeper or accountant need to do on a recurring basis in their accounting systems. Note there are specific sets of templates for several countries. Generally you will use just one set, however, multiple are available.

The standard set of task templates are organised so you can have (or not have) sets of templates that apply to a specific business function. For example, if you do not do payroll, or if your practice does not do payroll for all your clients, then the work associated with a set of payroll templates can be easily separated in such a way as to be able to schedule some tasks to some clients, and not so for others. XBert makes this approach not only possible but easy.

The are 4 levels to a task template. Additionally, notes can be added to provide client specific instructions when relevant - which means you can keep templates generic for use across your practice, and therefore, remove the need for a lot of client specific setup and ongoing management of your recurring work.

Note: A standard task template set may not be for you โ€“ but it is useful for most new XBert users to get a feel for how task templates are set up and how things might need to be organised so that scheduling tasks for clients is easier. We encourage you to explore them and customise them to your liking or just delete them. You can also add as many of your own custom task templates as you like.
