A practice report that shows similar to the Work screen. Includes key data for all tasks and XBerts.

The Work Item Report is a new practice report designed to provide a comprehensive view of all work items (Tasks and XBerts). It is similar to the XBert Work screen and provides data in a single table format, which means the data can be easily exported to an Excel or text file.

Purpose

The purpose of the report is to provide work screen data, at the individual work item level, that can be explored, filtered and exported to other formats (Excel and text files).

Secondary to this is the provision of several calculated and consolidated metrics, including the total count of (incomplete and) overdue work items, and the breakdown of completed work items by completion on time vs. overdue. Additional metrics might be created using data from this report, post-export, in (say) Excel.

Note that a significant depth and breadth of work item metrics are already calculated in various other reports in XBert, for example, the Data Quality practice report and the Task Completion practice report. The Work Item report does not intend to duplicate these other metrics nor does it mimic exactly the work screen in terms of its filters and other interactivity.

The Work Item report describes each work item by various factors, including:

  • Client

  • Process

  • Overdue (yes/no)

  • Status

  • Start and due dates

  • Estimated time

  • Assigned user

Key Features

  1. Comprehensive Data Set: Integrates both task data and XBerts, ensuring users can view and analyse all relevant work items.

  2. Enhanced XBert Data Points:

    • Overdue Flag: Indicates whether an XBert is currently overdue.

    • Completion Status: Reflects the overdue state at the time of completion rather than the present overdue state.

  3. Flexible Filtering:

    • The report includes work items with a date (task start date or XBert transaction date) on or after January 1, 2022, by default.

    • Users can modify the date range and type of date filter as needed.

    • Filtering by Client is highly recommended via the right-side filter panel in for optimal performance.

Use Cases

The Work Items Report can be useful for:

  • Viewing total jobs/tasks and their scheduled estimates.

  • Calculating weekly scheduled hours per staff member by exporting data to Excel and sorting/filtering by (Start) Date or Due Date fields.

  • Applying filters to drill down into the data, including relative date filters like "in the last 4 calendar weeks."

  • Analysing performance metrics and identifying trends by creating custom summary metrics in Excel.

Report Layout and Usage

  1. Filter Panel (Left Side): Users can refine their view based on Client Group, Work Item Type, Process, Overdue Status, Completion Status, and Date Ranges.

  2. Summary Metrics (Top Section): Displays key statistics, including:

    • Total overdue items (split into overdue and non-overdue counts)

    • Count of completed on-time tasks

    • Count of completed overdue tasks

    • Count of not completed tasks

  3. Detailed Work Items Table (Main Section): Contains individual work items with columns for:

    • Client, Work Item Type, and Work Item Name

    • Process and Status

    • Overdue and completion status

    • Task start date and due date

    • Estimated completion time in minutes

Filtering Options

The report provides multiple filtering options:

  1. On-Page Filters: Common filters like "Overdue (true/false)."

  2. Off-Page Filters: Located on the right-hand filter pane, which is hidden by default.

  3. Table Filters: To filter fields not shown on the page or in the filter panel, click somewhere on the table to select it. This will make the additional filters available in the Off-Page Filters pane.

Exporting Data

To export data from the Work Items Report:

  1. Hover your mouse over the table.

  2. Click the more options ellipsis (three dots) in the top right of the table header.

  3. Choose "Export data" from the list of options.

  4. Leave the default export option of "Data with current layout" selected.

  5. Click Export. The exported file will be saved to your Downloads folder.

Note: This is different from using the blue "Export to PDF" button.

Important Considerations

If a client is deleted from XBert, its data will be removed from the reports.
