Dedicated XI Prompts on Capacity
To use the XI prompts, you'll need to turn on your capacity feature and set your capacity settings.
There are three dedicated XI Prompts (AI features) available on the Team Overview page, namely:
Practice Capacity Review
On the top header on the right side, you will see a button named "Capacity Summary", clicking this will give you a data review of the Capacity for your Practice and a detailed summary.
User Capacity Review
When you click a user's capacity percentage (%), you will be given a review of this user's work allocation and capacity.
⚠️ You will only be able to view this when you use the date range: Work Due > Any date range including today or a future range.
E.g. Work Due > Dynamic > Up to Today
E.g. Work Due > Dynamic > A Future MonthIf you are not using Work Due, it will display a dash icon (-) beside a name.
User Estimated Time Against Actual Time Review
Across a user and process, when you click on the three dots symbol (⋮), you will see this option - Review the user's work for this process. If you click on this, you will get a detailed review of work estimated against actual work performed for this user.
Reference Guide (How to read through this page)
The number of outstanding or remaining tasks or XBerts is shown inside the red circle. (eg. 7 total tasks)
The number of completed tasks or XBerts is shown outside in a green circle.
Any overdue items are shown as a number in a small red circle. Clicking this number will display these items on the Work list. (e.g. 15 total tasks, 1 overdue, 2 completed)
If all tasks in a process are completed, there is a green tick with a green circle displaying the number of completed tasks. Clicking on this icon will display these items on the Work list. (e.g. 1 completed item)
You can use the total row across the bottom to know the progress of any team member or client across all processes.
You can check your capacity or another user's (if you're an admin user) and drill through work items by using the date range: Work Due > Any date range including today or a future range.
E.g. Work Due > Dynamic > Up to Today
E.g. Work Due > Dynamic > A Future Month
If a user is over capacity, you can view the day/s by clicking on the tiny red number above.
To view the items, click on the options of days from the dropdown.
You'll then be redirected to the worklist with all the work items and the capacity toggle displaying the capacity percentage. The capacity bar will be at the bottom of your screen.
Export to Excel
You can export the Team Overview page to gain deeper insights into your team's workload, identify potential bottlenecks, and make informed decisions to optimize your team's productivity.
To export, select a date range you're looking into. Then, click on the Actions button on the upper right side of your header. Select Export to Excel.
This feature provides a more detailed view of your team's workload and performance metrics.
