✅ What you can do
Can I send more than one receipt at once?
Yes, in all three ways:
Add Receipt: add several files at once. Each file becomes its own receipt.
Email: attach several files to one email. Each invoice or receipt becomes its own bill, which you can switch to a sales invoice if it's an RCTI or account sale, and other files like terms and conditions are attached to the bill as supporting documents.
XBert Capture: your client can choose Multi Receipt. Each photo becomes its own receipt.
Can I email an invoice that's in the body of the email, not attached?
Yes. If an email has no attachments, XBert turns the email itself into a PDF and reads that.
Can my client add a note to a receipt?
Yes, when they send it from XBert Capture. They can add a comment before tapping Send Receipt, and it shows on your side as Client comment.
Can I add a comment when I email a receipt?
Yes. If the email has attachments, the short message typed at the top of the email (up to 500 characters, not the signature or forwarded thread) is saved with each receipt as an Email note. If the email has no attachments, the email itself is turned into a PDF and read instead.
Can I email in an RCTI or account sale?
Yes, but it arrives as a bill, because emailed receipts always do.
Before it's published, open it on the Receipt Capture page and click Change to Sales Invoice in the preview panel, or add it yourself with Add Receipt and choose Sales invoice. Sales invoices are for Xero clients only.

⚠️ What you can't do
⚠️ What you can't do
Can I move a receipt to a different client?
No. XBert reads every receipt against that client's own accounting file, so it needs to be read again for the right client.
Delete it from the Receipt Capture page, then add it again for the correct client.
Can I email a receipt in as an expense?
No. Emailed receipts always come in as bills, and a bill can only be switched to a sales invoice, not to an expense. If a receipt has already been paid, add it yourself and choose Expense, or ask your client to send it from XBert Capture and pick the bank account it was paid from.
Can I change a receipt from a bill to an expense after it's been sent?
No. Only bills and sales invoices can be switched between each other, in the preview panel before it's published, so to turn a bill into an expense, delete it from the Receipt Capture page, then add it again and choose Expense under Publish as.
Can I combine several photos into one receipt?
No. Each photo or file becomes its own receipt. For a long or multi-page receipt, scan it into a single PDF and add that instead.
Can I send in credit notes?
No. Receipt Capture creates bills, expenses and sales invoices, but not credit notes, so enter credit notes in your client's accounting software. If a bill's total is negative, publishing pauses with a warning that it may be a credit note, so you can check it, but a sales invoice with a negative total is held and can't be published.
Can I send receipts for a client who doesn't have Receipt Capture switched on?
No. Emails and documents sent in for that client are ignored, and they won't appear when you add a receipt yourself.

Can I change a client's receipt email address?
Not at the moment. Each client's receipt email address is set by XBert and can't be changed.
Can XBert split one PDF that has several receipts in it?
Not yet. One file becomes one receipt. Send each receipt as its own file, or have your client use Multi Receipt in XBert Capture.
Can my client tag a receipt with an account or tracking category?
No. In the XBert Capture app, your client picks a payment method and can add a comment. XBert codes the account and tracking, and your team checks them before publishing.

💡 General FAQ
Will logos and email signatures come through as receipts?
No. Small images embedded in the email, like logos and signature images, are ignored. Larger images, and tall document-shaped images such as screenshots or photos of receipts, are kept.
What files can I add?
When you use Add Receipt, you can add PNG, JPG or PDF files, up to 20MB each.
Emailed PDFs and images (JPG, PNG and GIF), including screenshots, are read too.
HEIC, WEBP and TIFF images aren't accepted by email, so convert them to JPG or PDF first. Up to 25 attachments per email are read, so send bigger batches across several emails.
Do I need admin access to send receipts?
No. Anyone in your team can use Add Receipt. You only need admin access to find a client's receipt email address in Settings.
Does sending a receipt put it straight into the ledger?
Not on its own. XBert reads the receipt and creates a Receipt Capture work item for your team to check. It only becomes a bill, expense or sales invoice in your client's accounting software once it's published, either when someone on your team clicks Publish, or, for bills and expenses but never sales invoices, when it matches a Publish with XBert rule you've set up.

What happens if the same receipt is sent twice?
Add Receipt: the second copy is marked Duplicate instead of being processed.
XBert Capture: your client sees This receipt has already been submitted for processing.
What if a photo doesn't have a receipt in it?
XBert won't create a bill, expense or sales invoice from it. The receipt shows We couldn't find an invoice or receipt in this image. Retake the photo, or delete this item.
