FAQ: Account Deletion

What happens when you delete your XBert account, how long you have to change your mind, and how to stop it.

Written by AI Support

What happens when I delete my account?

Your subscription is scheduled to cancel at the end of your current billing period. You keep normal access until then.

After that date your account is locked, and your data is deleted 7 days later. Once that happens nothing is recoverable: client data, accounting connections, reports, workflow, tasks and client notes are all gone.

If your subscription has already been cancelled when you request deletion, the 7-day window starts from the day you request it rather than from a future billing date.

How long do I have to change my mind?

Until the deletion date. You can log in right up to that point, including during the locked period after your billing period ends.

How do I stop it?

You need to be an admin.

  • A red banner appears at the top of the app reading Account Cancellation with the date. Click Stop.

  • Or go to Settings > Connect, find Account no longer required, and click Keep Account - Stop Cancellation. Once the account has locked, the same place shows Keep Account - Stop Deletion.

If you are not an admin you will see the notice but not the option to stop it.

Can I have my data deleted sooner?

You can bring most of it forward yourself, before the scheduled date:

  • Delete individual clients from the client Plans page

  • Delete your tasks and notes

  • Delete your users

If you need the whole account removed immediately rather than at the end of your billing period, contact support and ask.

Can I delete individual clients before the account deletion date?

Yes. Go to the Client Plans page, select a client, and the slide-out panel offers the option to delete the file.

No refunds or credits apply.

💡 Normally a deleted client gets its own 7-day recovery window in case it was a mistake. That grace period does not apply once your account is already marked for deletion, so a client deleted at that point is gone on the account's schedule instead.

What should I think about before I do this?

Deleting an account is not reversible once the window closes. Before you start:

  • Export your client data. The Client Work Data Export report covers work items and subtasks, logged time, comments and client notes. Export every tab, and use Export data rather than PDF, which only saves an image of the screen and can be incomplete.

  • Make sure everyone who relies on the account knows it is going.

  • Allow time to move across to whatever you are using instead.

💡 Attachments are not included in the export. They are stored in the ledger and stay accessible there.
