Overview

You can rename any client in XBert. The display name you set is shown across XBert in place of the original accounting file name, making it easier to identify clients in your practice.

This is particularly useful when:

  • A client trades under a different name to their legal or file name in your accounting software

  • You want to standardise how client names appear across your team

  • A client has changed their trading name but the accounting file has not yet been updated

Note: You can also update a connected client's name by changing it directly in your accounting software (e.g. Xero) - XBert will sync the change within 24 hours. However, if you want a name in XBert that differs from your accounting file, use the Rename Client option instead.


How the Display Name Works

  • On Settings > Clients > Connections: the display name is shown as the primary name, with the original accounting file name displayed underneath in smaller text so you can always see the source file reference.

  • Everywhere else in XBert (Work Views, notifications, exports): only the display name is shown - there is no secondary label.

  • If no display name is set: XBert continues to use the accounting file name as it always has. There is no change to existing behaviour unless you choose to rename a client.

  • Searching and filtering: works using the display name only. If you have renamed a client, search using their new display name.

  • Practice-wide: the display name applies to all users in your practice - it is not a personal preference.

Note: Renaming a client in XBert only affects how the client is displayed within XBert. It does not rename the organisation or file in your accounting software (such as Xero or MYOB).


How to Rename a Client

You must be an admin user to rename clients.

  1. Go to Settings - select Settings from the main navigation menu.

  2. Navigate to Clients > Connections - under the Clients section, select Connections.

  3. Find the client you want to rename in the list.

  4. Open the options menu - click the three-dot menu () on the right-hand side of the client row.

  5. Select "Rename Client" - a dialog will appear prompting you to enter a new display name.

  6. Enter the new display name and click Save.

The display name will be applied immediately and will appear across XBert for all users in your practice.


Removing a Display Name

To revert to the original accounting file name, follow the same steps and clear the display name field (or re-enter the original name).

XBert will then display the accounting file name as before.


Tips

  • Use consistent naming conventions across your practice to make it easier for your whole team to find and identify clients.

  • Display names do not affect any integrations, reports, or data exports from your accounting software - they are purely a display setting within XBert.


Frequently Asked Questions

Will renaming a client in XBert change anything in Xero or MYOB?

No. The rename only affects how the client is displayed within XBert. Your accounting software is not affected in any way.

Can all team members rename clients?

No. Only admin users can rename clients. The display name, once set, is visible to all users in the practice.

Can I search for a client by their original accounting file name?

No. Once you have set a display name, search and filtering in XBert will use the display name only. The original accounting file name is shown as a reference label on the Connections page only.
