How To: Capture Receipts with the XBert Capture App

Take a photo of a receipt, or pick a file, and send it in from XBert Capture.

They describe what you'll see in the app itself, on a phone or in a browser, from setting it up for the first time through to using it day to day.

XBert Capture is a separate app from XBert. Anything that happens inside XBert is covered in the collections for your firm.

Send a Single Receipt

  1. Tap the + button.

    1. It works from anywhere in the app and opens Capture Receipt straight away.

  2. Under Capture Mode, leave Single Receipt selected, then under Select Source, choose Camera, Photos or Files.

    1. Camera takes a photo there and then.

    2. Photos picks something from your gallery.

    3. Files picks a PDF or document saved on your device.

  3. Check what you've got.

    1. Tap Retake or Reselect if it isn't right.

  4. Check the Payment Method. If one is already selected, tap Change if this receipt was paid differently. If none is selected, pick the one that matches how it was paid.

  5. Add anything your bookkeeper needs to know under Add a Comment (Optional).

  6. Tap Send Receipt.

    1. You'll see Upload Complete when it's through.

💡 The payment method may already be picked

If your bookkeeper has set a default, it's already selected and says Set by your bookkeeper. Change it only if this one is different. If there's only one set up, there's nothing to choose. Otherwise, pick the one that matches how this receipt was paid.

Send several receipts at once

Under Capture Mode, tap Multi Receipt first.

Then either:

  • pick Photos or Files and choose several at once, or

  • take a photo with Camera, then tap Add another photo for each one after it.

Each one goes in as its own receipt. Your comment is used for all of them, so the box changes to Add notes - used for all receipts.

When it's done you get a summary, for example 5 of 7 receipts sent · 2 already submitted - skipped.

Getting a photo XBert can read

  • Lay the receipt flat and get the whole thing in frame.

  • Good light, no shadow across it.

  • Straight on rather than at an angle.

  • For a long receipt, or one with several pages, a scanned PDF beats several photos.

Nothing's attached yet. Take a photo or pick a file.

You're told it's already been submitted

That exact file has come in before, so it's skipped rather than sent twice. Nothing else to do.

Some of a batch failed

The summary tells you how many. Press send again to retry just those.

Camera access is needed to capture receipts. or Photo library access is needed to select receipts.

Allow XBert Capture to use your camera or photos in your phone's own settings, then try again.
