Invited Users' Client Access Permissions

Understanding your team's client access permissions and how to edit a user's access.

Client Access Permissions:

Client Access Permissions allow you to control what clients your invited users can view in XBert. There is a difference between Xero, MYOB, QuickBooks and Non-Connected Clients.

Setting access permissions is optional and is for restricting XBert usage and does not allow a person to open the client file.

Xero Clients

With Xero, we can use the existing user access as a way of controlling what client users in XBert can access. You can use the option below - Xero Clients.

MYOB, QuickBooks or Non-Connected Clients

These types of ledgers do not allow us to know the users. So we cannot provide the same way as Xero. For these types of clients, you can manually control the access if required to the clients, as per below.

Client Access Options

There are 4 options you can choose from when selecting how you would like to control the users' access to files:

  • All Clients

    • This will allow the user to view all clients within XBert.

  • Selected Clients

    • This will allow you to select which clients you want the user to have access to in XBert. They will be restricted from viewing, accessing, editing or being assigned XBerts or tasks for any clients to whom they have not been allocated.

  • Xero Permissions + All Clients

    • Xero Permissions access will allow a user to only view what they have access to in Xero.

    • They will be restricted from viewing, accessing, editing or being assigned XBerts or tasks for any clients to whom they don't have Xero access. They will also not have access to the client console of clients they don't have access to.

  • Xero Permissions + Selected Clients

    • Xero Permissions access will allow you to see the clients that the user has Xero access to and then modify that list to control which clients they see in XBert.

  • Note: The clients that are greyed out mean the user doesn't have access to those clients in Xero. They will need Xero access or permissions first before those clients can be selected within XBert client access permissions.

User Roles

Admins can view and edit the settings, including:

  • CONNECT Settings (business name, logo, payment details)

  • Processes (add, edit and remove)

  • XBert Automation (align XBerts to Processes)

  • select what clients a user can access

Non-admins:

  • can only see their user profile settings. This restricts the settings in both CONNECT and Client Console portals.

Link to Xero Practice Manager (XPM)

This will allow you to link the user profile to a staff member who is a part of your team on XPM, this will allow auto-pushing of time committed by the user to the XPM Job Task that the XBert task is linked to.

Editing a User's Permissions

If you have Admin Access, you can edit a user's Client Access Permissions by going to CONNECT Users in the Menu.

  1. In your XBert CONNECT portal, click on the panel menu (hamburger icon) on the top right of your screen.

  2. Click on CONNECT Users.
    ​

  3. Click on the pencil icon next to a user's name.

  4. From here, you can edit the user's access and click Save once you're done.
