Accounting Software: Xero
Country Restriction: AU only
Risk Type: Payroll Risk
Business Function: Payroll
Overview
The "Employee Bank Accounts Same" XBert identifies situations where two employees have been assigned the same bank account in your payroll system. This could be an innocent oversight or a sign of data entry error, and may result in payment issues.
What it does
This XBert scans payroll records for any employees who:
Have identical bank account numbers
Have different employee IDs
Have different surnames
Do not share either surname in the account holder name
These checks help surface cases where a mistake may have been made during data entry or record setup.
How it works
After each data sync, XBert compares employee bank account details. If a shared account is found, and the names do not support a family relationship (e.g. shared surname), the alert is triggered.
This allows you to validate if the shared account is legitimate or needs correction.
Example/Use Case
Billy and Sally both start working at ACME Industries. The payroll admin, John, enters Billy’s details correctly. When adding Sally’s record, he accidentally copies Billy’s bank account number instead of entering Sally’s.
A few weeks later, Sally notices she hasn’t been paid. The issue is traced back to the error, requiring payroll adjustments and a manual correction. Had this XBert alert been reviewed earlier, the issue would have been caught before causing disruption.
In contrast, John and his wife Sue both work at Norco Bikes and share a joint bank account. In this case, the alert is valid but not an error.

Processes
This XBert is part of the Payroll Services category.
To resolve:
Confirm that the bank account details are accurate for each employee
If the shared bank account is intentional (e.g. family members), you can safely file the XBert
If incorrect, update the employee records with the correct banking information to avoid missed or misdirected payments
By monitoring for shared bank accounts, this XBert helps prevent payroll errors and ensures employees receive their payments correctly and on time.
