Overview

The "Matched GST Number for Business" XBert helps identify businesses in your accounting software that don’t have a GST Number recorded but have been confidently matched to a GST Number using XBert’s internal data sources. This alert ensures that your contact records are complete and accurate for reliable GST reporting and audit readiness.

What it does

This XBert checks your contact list for any business that has income or expense activity but is missing a GST Number. It then compares those contacts against a verified list of New Zealand Business Numbers (NZBN) and identifies matches.

If a match is found between a contact and a registered business with a valid GST Number, XBert flags it—prompting you to review the contact and update their GST Number in your accounting software.

How it works

  • XBert scans your contacts to identify businesses with no GST Number recorded.

  • It matches those businesses using the company name and available data to a valid NZBN entry with a GST Number.

  • If a confident match is made, XBert alerts you and provides the suggested GST Number.

Example/Use Case

Marie, a bookkeeper, enters bills and invoices for her client’s suppliers and customers, but often leaves the GST Number field blank. One of those suppliers, "Tidy Landscapes Ltd", is an active GST-registered business—but no GST Number is saved in Xero.

XBert recognises the business name and links it to a verified GST Number through its matching logic. This alert is triggered so Marie can add the correct GST Number to the contact record, improving data quality and avoiding issues with GST credit claims later.

Accounting software

This XBert supports Xero, MYOB, and QuickBooks.

Which countries it supports

New Zealand only.

Processes

This XBert is part of the Cleanup process category, which focuses on data accuracy and record quality in your ledger.

To resolve this alert:

  • Review the contact in your accounting software.

  • Confirm that the matched GST Number is correct.

  • Add the GST Number to the contact record.

  • If you’re unsure about the match, verify the business details on the New Zealand Business Register.

Ensuring that contact records include a GST Number helps maintain accurate books, improves your GST reporting, and reduces the risk of errors during audits.
