How To: Update a Title Token After Changing the Start Date

Refresh a task's title after you change its start date, so the month or year in the title matches.

A task title built from a token, such as BAS Monthly - [StartMonth], is filled in once when the task is created. If you later change the task's start date, the title does not update on its own. There is a separate Update Title action to bring it back in line.

When the option is available

Update Title only appears when all of these are true:

  • You are an admin

  • The item is a task, not an XBert

  • The task was generated from a template

  • The title actually contains a token

If any one of those is not met, you will not see the option.


Update the title

  1. Open the task whose title contains a token, for example BAS Monthly - October.

  2. In Timeline, click the Edit Start Date pencil icon, set the new date and click Save.

  3. Open the Advanced section in Timeline.

  4. Click Update Title. The title is rebuilt from the new start date.

The title is recalculated using your Connect portal's timezone, the same as when the task was first created.


Older tasks

Tasks created before this was introduced do not have the option, and their titles cannot be updated this way. You can still change their start dates, but the title will keep its original wording and would need editing by hand.

This is because XBert has to keep a copy of the original title, tokens and all, to rebuild it from. Tasks created before the change were never stored that way, so there is nothing to rebuild.


When this is useful

  • A workflow was duplicated into a new period and the titles still say the old one

  • A start date was entered incorrectly

  • A recurring schedule has been realigned to different dates
