Workflow AI gives a client XBert's AI without needing a ledger connection: workflow automation, practice agents and Ask XBert chat. It runs on the Nano plan.
This article covers the ways a client moves onto Workflow AI Nano, and what happens when you later connect a ledger.
Before you start
You need to be a firm admin, working in your Connect portal rather than inside an individual client console.
It helps to know the difference between three things:
A workflow-only client has no accounting ledger connected.
The tier is how much of XBert works on that client: Manual, Workflow AI or Financial AI.
The plan is where the client sits under that tier. Nano is the plan under Workflow AI. Micro through to Enterprise are the plans under Financial AI.
Move an existing workflow-only client onto Workflow AI
This is for a client you already have in XBert that is workflow-only and on the Manual plan.
Go to Settings (the gear icon at the lower left of your screen), then under Clients select Connections to open the Client Connections page.
Find the client and click Connect in the Connection column.
The Connect a ledger screen opens.
At the bottom of that screen, next to Not ready to connect a ledger?, click Start with Workflow AI.
You go straight to Review and confirm. There is no client details form to fill in, because the client already exists in XBert.
Confirm. The client moves onto the Nano plan.
Billing starts today, prorated to your current billing period, because the client is moving onto a paid plan.
If you want to see what you would get by connecting a ledger instead, click Compare what each plan includes at the bottom right of the Connect a ledger screen.
Add a new client straight onto Workflow AI
In your Connect portal, open Quick Add (the + icon in the top header) and choose Add Client.
On the Connect a ledger screen, look for Not ready to connect a ledger? and click Start with Workflow AI.
The Start without Financial AI? screen opens.
Enter the client's details, then click Continue with Workflow AI.
Confirm the charge when prompted. The client is created on the Nano plan.
Move a Workflow AI client up to Financial AI
Connect a ledger and the client moves up on its own.
Go to Settings, then under Clients select Connections to open the Client Connections page.
Find the client and click Connect in the Connection column.
Choose the accounting software
You are taken to the provider to sign in securely. XBert never sees your password.
Sign in, choose the client file, and authorise the connection. You are returned to XBert and syncing starts.
Live checks and reporting unlock on their own, with nothing to re-set up.
Note that the client's name in XBert is overwritten with the name on the accounting file. You can rename the client in XBert if you prefer a different name.
