Easily manage workload with Team Overview.

Using the Team Overview board, you can monitor and manage workloads, redistributing tasks as needed.

Click play for a quick video guide! ✨

Navigation

Click on the Team Overview icon on the left-hand side of your screen.

Team Overview lists all process workflows for the organisation, along with the total number of items and items assigned to or completed by each team member.

Sorting / Filtering

On the top header, you can sort your Team Overview page into the following:

  • View Saved Views

  • By Date Range

  • show Connect or Client users only - to view the work progression between your team members or your client's work

  • Hide Empty Rows and Columns (right side of the header)

  • Show Time (right side of the header) - you can toggle this filter if you want to see the total estimated, committed or remaining time for each user under each process.

Dedicated XI Prompts

There are three dedicated XI Prompts (AI features) available on the Team Overview page, namely:

  1. Practice Capacity Review

On the top header on the right side, you will see a button named "Capacity Summary", clicking this will give you a data review of the Capacity for your Practice and a detailed summary.

  2. User Capacity Review

When you click a user's capacity percentage (%), you will be given a review of this user's work allocation and capacity.

  3. User Estimated Time Against Actual Time Review

Across a user and process, when you click on the three dots symbol (⋮), you will see this option - Review the user's work for this process. If you click on this, you will get a detailed review of work estimated against actual work performed for this user.

Reference Guide (How to read through this page)

The number of outstanding or remaining tasks or XBerts is shown inside the red circle. (eg. 7 total tasks)

The number of completed tasks or XBerts is shown outside in a green circle.

Any overdue items are shown as a number in a small red circle. Clicking this number will display these items on the Work list. (e.g. 15 total tasks, 1 overdue, 2 completed)

If all tasks in a process are completed, there is a green tick with a green circle displaying the number of completed tasks. Clicking on this icon will display these items on the Work list. (e.g. 1 completed item)

You can use the total row across the bottom to know the progress of any team member or client across all processes.

Export to Excel

You can export the Team Overview page to gain deeper insights into your team's workload, identify potential bottlenecks, and make informed decisions to optimize your team's productivity.

To export, select a date range you're looking into. Then, click on the Actions button on the upper right side of your header. Select Export to Excel.

This feature provides a more detailed view of your team's workload and performance metrics.

💡 TIP: Use the Dynamic View > "Due This Week" to run your daily huddles directly from your board. This view highlights progress, pinpoints areas needing attention, and ensures everyone stays within their capacity.
