XBert has Templates that create ongoing recurring tasks for your Clients. When you need further information relating to a specific client you can use Notes to add this via the Template Tasks.

Note Topics

A way of grouping similar Notes within the same Topic.

On the Notes page, your Topics are listed on the left-hand side, this is the main page navigation.

Note Link Tags

Link your Note to your Templates. Notes can be linked to a Template or a Subtask within a Template.

Following the simple steps outlined below, we'll show you how to set up your Note Topics and Note Link Tags. Then, Add a Note and link it to a Template.

  1. To start Creating the Note Topics and Note Link Tags, go to Settings by hovering over the gear icon in the bottom left corner above your profile picture.

  2. Select Note Topics. This will be like a filing structure for your Notes, this could match your Processes or be different.

  3. To create a new Note Topic, type the name of the tag into the top field and press the + icon

  4. Edit a Note Topic by clicking on the name of a Note Topic, make your changes and your changes will be saved automatically. Changing a Note Topic is basically like changing the folder name, it won't change which Notes are filed there.

  5. Reorder the Note Topics, this will reorder the structure of your labels.

  6. Delete a Note Topic by selecting the Bin icon.

  7. After you have created and structured your Note Topics, set up your Note Link Tags. These link your notes to your Templates. Create, Edit, Delete and Reorder the same as Note Topics above.

  8. Once you have added your Note Topics and Note Link Tags, you can start adding Notes.

    Go to the Notes page and + Add Note.

  9. At the top, you must select if the Note is in

    • Draft anyone can see a Draft note, Draft indicates it might not be finished.

    • Published will let your team know that your Note is finalised.

    • Private will be a Note that only YOU can see.

    • Public is a Note that all your Team Members can see.

  10. Then you must select the Client, Topic, and Note Linking Tag for this Note.

  11. Complete the Title, Contents, and any Attachments for the Note then Save.

  12. To view all your Client Notes, Note Topics is the first column on the Notes board. You can use this to sort and filter your notes.

  13. The Client Column is the second column in the Notes board.

    Select a client to see all Notes that are aligned to them.

  14. The body of the Notes page is the list of Notes with their details, clicking on a Note will open a Details Tile of the note.

  15. Once you have your Notes in the Note Topics with Note Linking Tags, we can link to Templates.

    When creating a Template you can link a Note to a Template or a Subtask within a Template.
