How To: Add a Note for a Client

For creating and adding specific notes for individual clients.

Need to keep track of important client details? Learn how to easily create and link notes to your client's tasks, ensuring nothing slips through the cracks.

XBert has Templates that create ongoing recurring tasks for your Clients. When you need further information relating to a specific client, you can use Notes to add this to their Template Tasks.

Making Note Topics is a way of grouping similar Notes within the same Topic.

The default roles you can set are Partner, Manager, Accountant and Bookkeep

On the Notes page, your Topics are listed on the left-hand side, this is the main page navigation.

Note Link Tags

Link your Note to your Templates. Notes can be linked to a Template or a Subtask within a Template.

  1. To create a new note, go to the Notes page and click on '+ Add Note.' This is where you’ll start entering the details that are important for your client.

  2. At the top of the note, select whether it’s a Draft, Published, Private, or Public.

    • Draft

      • Visible to everyone but isn’t finalised.

    • Published

      • Lets your team know it’s complete.

    • Private

      • Only visible to you.

    • Public

      • Accessible to all team members.

  3. Next, select the Client, Topic, and Note Link Tag for your note. This will link your note directly to the client’s task or template, ensuring all relevant information is accessible.

  4. Fill in the Title and Contents of your note, and if necessary, add any attachments.

    Once everything is in place, click ‘Save’ to finalise your note. Your note will now be linked to the selected template or subtask.

    Your note will now be added to your template or the subtask within the template.
