How To: Assign a Client Role to a Client User

Set up a Client User, then assign them a Client Role on the Clients > Client Roles page.

Roles are created under Settings > Organisation > Roles, in two separate lists:

People at your client's business, the client users on that client file

This article covers the second list (Client Roles). If the client role you need doesn't exist yet, create it there first.


1. Add a Client User

To add a Client User, first, you must turn on their Client Console in the Clients > Settings page.

On this page, turn on the Client Console that you want to invite clients on.

Under the Clients column, hover over a client name and click Client Console to open the Client Console for the client you would like to add client users to.

You must invite Client Users into their Client Console, and they must accept and set up their user details before they can be selected for the Client role.

You can invite one or multiple users for each client file to become a user in their XBert Client Console.


2. Assigning a Client Role to a Client User

To assign a Client Role to a Client User, you must go to the Clients > Client Roles page in Settings.

Roles are used to assign XBerts, Tasks and Template Schedules, and to filter the Work List and Work Board.

This page shows a column for every role, and the heading tells you which kind it is:

The role name on its own, such as Partner or Bookkeeper

Your own team. Only users in your Practice Portal can be selected.

The role name with a Client: prefix, such as Client: Client Contact

Your client's own people. Only client users on that client file can be selected.

You want the Client: column.

From here, click on the - icon under the Client: column and click on the name of your client to assign them the role.

If you don't have Client Users available for the Client file, this pop-up will appear instead.

Clicking on "Manage Client Users" will redirect you to the Client Console user page for the Client file.

Clients will not be able to access your Practice Portal.

There are Tasks and XBert visibility settings on the Client Settings page as well. You can choose to hide XBerts and tasks from clients here.


💡 Note

Make sure you only invite clients to their Client Console.

You don't want to invite them to the Practice Portal, this is just for your internal team. Invite them once you are in the Client Console.
