📱 These steps are for the XBert Capture app
They describe what you'll see in the app itself, on a phone or in a browser, from setting it up for the first time through to using it day to day.
XBert Capture is a separate app from XBert. Anything that happens inside XBert is covered in the collections for your firm.
Find your chats
Chats is the first screen the app opens on.
On your phone: it's the speech-bubble icon in the bar at the bottom.
In a browser: it's the top item in the menu on the left.
When someone has sent you something you haven't read yet, a number shows on that icon.
What each conversation shows
The name of the conversation. If nobody has named it, it says Chat.
The time of the last message: a time like 2:30pm for today, then Yesterday, a weekday, or a date.
The last message underneath, with the sender's name in front of it. A brand-new conversation says No messages yet.
Conversations you haven't read are in bold, with a green dot. Both go once you've read it.
Open a conversation
Tap the conversation. The messages load with the newest at the bottom, and you can scroll up for older ones.
On your phone: the conversation fills the screen. Tap the back arrow at the top to go back to your list.
In a browser: your list stays on the left and the conversation opens beside it.
You don't need to mark anything as read. After about two seconds with a conversation open, it's marked as read for you.
Send a message
Tap the bar at the bottom. When it's empty, it says Start typing.
Type your message.
Tap the round send button on the right.
The send button only works once there's something to send. The X in the bar clears what you've typed, and the smiley next to it adds an emoji to your text.
Send a photo or file
Anything your firm needs to see, like a letter, a statement or a photo, can go straight into the conversation.
Tap the round + to the left of the bar at the bottom. Add Attachment opens.
Choose where it's coming from:
Take a photo: use the camera now.
Choose a photo: pick one you already have.
Upload a file: anything else, such as a PDF.
Take or pick the file. It uploads by itself, with a bar showing its progress. When it's done, you'll see Upload Complete and the file appears in the conversation.
To stop an upload, tap the X that replaces the + while it uploads.
💡 Sending a receipt?
A receipt sent this way is just a file in the chat. It won't be read or turned into a bill. Use the receipt button instead.

What you can send
Files up to 25MB. A bigger one is refused.
In a browser, you can only Choose a photo or Upload a file. Take a photo is only on your phone.
The first time, your phone asks whether XBert Capture can use your camera or photos. If you say no, you'll see Permission Required. To change it, allow access for XBert Capture in your phone's settings.
Reply, react, copy or delete
Press and hold a message. A small menu opens over it, with a row of emojis along the top and actions underneath. If you only see the emojis, tap the three-dot button to show the actions.
Reply to a particular message
Useful when a few things are being discussed at once. Your reply shows the message you're answering, so nobody has to guess.
Press and hold the message, then tap Reply.
A strip appears above the message bar, showing who sent the original and what it said.
Type and send as normal.
Changed your mind? Tap the X on that strip.
React with an emoji
A reaction is a quick way to show you've seen something, without sending a new message.
Press and hold the message.
Tap one of the six along the top: 👍 ❤️ 😂 😮 🥺 🙏. For anything else, tap the + at the end of the row to search all emojis.
Reactions show under the message as small badges, with how many people used each one. Yours is marked.
To remove yours: tap your badge.
To add the same one: tap someone else's badge.
To see who reacted: press and hold a badge.
Copy a message
Press and hold the message, then tap Copy. You can then paste it anywhere.
Delete something you sent
You can only delete messages and files you sent yourself.
Press and hold the message or file.
Tap the three-dot button if the actions aren't showing, then tap the red Delete.
Tap Delete again to confirm, or Cancel to keep it.
It's removed for everyone in the conversation, and it can't be brought back.
⚠️ Deleting a receipt message doesn't un-send the receipt
A receipt sent with the receipt button has already gone to your firm. Deleting the message takes it out of the conversation, but doesn't take the receipt back. If you sent the wrong one, say so in the conversation.
If something isn't there
What you see | What to do |
Your list is empty | Check the client name at the top of the screen, in case you're in the wrong one. A filter may also still be on from last time. |
Too many conversations to scroll through | Use the search box above the list, or the filter for Pinned, Snoozed, Unread and Archived. |

No Delete on a message | It isn't yours. Only the person who sent something can delete it. |
