How To: Use Estimated Time

Flag how long tasks should take and track how much work time each user has allocated.

Understand your team's capacity by adding an Estimated Time to your Templates and Tasks.

Estimated Time allows you to set a time on your Template Tasks, for visibility on how long a task should take, and the workload a user has assigned at any given time.

You can add Estimated Time when creating a new Template, or later on by editing an existing Template. You can also add Estimated Time to any ad hoc task created on the Work board.

  1. Create a new Template by clicking Add Template on the Automation board.

  2. Scroll down on the Template Settings tile and you'll see Estimated Time.

    You can adjust the Estimated Time by clicking the arrows in the Hours and Minutes boxes.

  3. To Edit an existing Template, click on an existing template from the Automation board and the details tile will open. Scroll down to Estimated Time and adjust by clicking the arrows in the Hours and Minutes boxes.

    Once you're done editing, click Save.

    All tasks created from this Template will now include the Estimated Time.

  4. If you need to add or remove additional time from a specific client, you can do this in your Schedules. Click on a template that has schedules.

    In the Template tile, click on the Calendar icon in the top left corner (View Schedules) to see the default time in the client panel on the right.

    Then, click on the schedule or the pencil icon on the schedule you'd like to edit. This will open the editing tile for that schedule.

  5. From here, click on the Clock icon that says edit to customise the estimated time on an individual client on your Schedule.

  6. The Client Time customisation panel will appear. Simply select your clients, update the time estimation and click update to save.

  7. Customised time will be displayed next to the respective clients.

  8. To add an Estimated Time to a one-off task, select the Quick Add button on the Work board, then click Add Task.

  9. Then, choose your Estimated Time by clicking the arrows in the Hours and Minutes boxes under the Estimated Time header. Once you're done, click Save.

  10. You can view the Estimated Time allocated for any task in the Work list, as well as the Task details.

  11. You can view the total Estimated Time allocated to each user by clicking on Team Overview.

    You can view your reporting period by a specified date range by using the Date Range Selector above the Work list.

    Click any of the results to view those tasks on the work board and reallocate tasks as suits your team's capacity.

You can view Estimated Time per Client, by clicking on Client Overview.
